The study sought to assess the problems and prospects of managing students information, a case study of college of science and technology,  Kaduna polytechnic. The specific purposes of the study were to find out problems associated with students’ information, find out ways by which Kaduna Polytechnic, college of science and technology is managing/storing, recording students information, find out problems associated with managing students information and Provide means towards effective management of students information. Five research questions were design and used to guide this study. The population of the study comprise Admission officers and personnel, Registration officers and personnel, Admin-officers and personnel, Examination officers and personnel, students etc of College of Science and technology, Kaduna Polytechnic. Of which 200 were randomly selected as sample. The study adopted descriptive survey research design and the area of study is College of Science and technology, Kaduna Polytechnic. The test retest method was used to establish the reliability of the instrument and the Pearson Product Moment Correlation coeffiecient was used to calculate the reliability coefficient. Mean statistics was employed to analyse the data. The summary of the findings for this study revealed that  Students have poor attitude towards keeping of vital information, Problem of data collection, data inaccuracy, data analysis, data storage are among the challenges of managing students information in Kaduna polytechnic among others. Based on these findings, recommendations were made which include that Students should be educated on importance of information management and tha, Staffs incharge of students’ information should be regularly trained and updated on modern ways of storing information in the institution.



Background of the Study

          Information management provides excellent means whereby management and users access information for decision making in an organisation. One of the central points in information management is efficiency. An efficient ‘information management system’ creates, processes and disseminates information that is critical to organisational performance. It ensures that information is available to the managers and other users in the form they want it and when they need it. This is why timely information is particularly central to effective decision making in an organisation.

Similarly, a good information management uses information technology (IT) to automate information management processes. Automation improvements decrease the number of personnel required and improve economies of scale, make proper utilisation of MIS capacity and reduce the overall cost for academic activities and other service deliveries. In this manner, information technology enables tertiary institution to operate efficiently with an overwhelming positive effect on the financial goals of management and other stakeholders in the tertiary institution system.

Indeed, a tertiary institution information system links all the components of the institution such as personnel, admissions, exams and records, bursary, library, sickbay, students affairs unit, security and management among others. It permeates all the components.

Efficient information management helps an organisation to cope with challenges, because it guarantees the capacity to produce information that is timely, accurate and reliable. It is therefore, the bedrock of organisational performance. Popoola (2000) argues that information and records management are the bedrock of business activities. In the context of tertiary institution, efficient information management provides a framework for keeping, maintaining and providing for the disposition of information for managerial decisions. It gives benefits to the management by facilitating continuity in the administrative function in the face of lean resources.

However, evidence points to the fact that management information systems in some tertiary institutions in some parts of Nigeria are not efficient. As Popoola and Oluwole (2007) posited that Nigerian tertiary institution administrators are often concerned about the alarming rate of misplacement or loss of vital records and the slow speed at which needed records are retrieved from storage.

Effective students’ Information management can ensure an advantage of one tertiary institution over another, enable a seamless access and controlled access to students data simultaneously by different arms of a tertiary institution and also protects a tertiary institution from student’s fraud.

However, despite the crucial role played by Information management as indicated above, there is consensus amongst researchers that many organizations pay little attention to the management of Information and handle recorded information carelessly without realising that Information constitute a major resource compared to finance, people, money and equipment (Egwunyenga&Walala, 2010). Managing students information has become a difficult task as it has become a recurrent issue for Information to be irretrievable when required in many Nigerian tertiary institutions. Similarly, many Nigeria administrators are concerned about the alarming rate of misplacement or loss of vital Information and the slow speed at which needed Information are retrieved from their storage by Information management personnel. This has led to in most cases, misplaced or lost of Information, delay necessary actions on urgent matters, irrational decisions, which may translate to social crisis or embarrassment to the tertiary institution system (Federal Ministry of Education, 2004).

Kaduna Polytechnic is a higher institution located at Tudun Wada, Kaduna South local government area of Kaduna State, North-Western Nigeria. Kaduna Polytechnic was established in 1956 as Kaduna Technical Institute after the British Government accepted the upgrading of Yaba Higher College (now Yaba College of Technology) to a technical institute and also proposed the establishment of technical institutes in Kaduna and Enugu through the recommendation of the Higher Education Commission. The polytechnic offers several National Diploma and Higher National Diploma courses at undergraduate levels.

With these numerous number of programmes run by the college, proper, efficient and effective management of students information becomes a crucial tool in the successful running of the college. Hence the need for the topic; problems and prospects of managing students information, a case study of College of science and technology, Kaduna Polytechnic.

Statement of the Problem

Effective management of students’ Information in the Nigerian tertiary institution system with particular emphasis on managing information generated on students from admission, matriculation, registration, examination, graduation, among others seems to be problematic. Incidences of misplaced documents, as well as mutilated or incomplete students’ files are common occurrences in most universities. The National Universities Commission (NUC) had once suspended the operating licences of seven private universities in Nigeria, one of which is in the South-South geo-political zone, for reasons ranging from non-compliance with its regulations, poor management of academic activities and mismanagement of students’ examination Information (N.U.C, 2013). This challenge of effectively managing students’ Information might have been occasioned by government/tertiary institution policy and leadership influence and decision. Hence, the problem of this study is to investigated the Problems and Prospects of Managing Students Information System (A Case Study of College of Science and Technology, Kaduna Polytechnic).

Purpose of the Study

The study aims at investigating the problems and prospects of managing students information, a case study of College of Science and Technology,  Kaduna Polytechnic. Specifically, the study seeks to:  

1.                 Find out problems associated with students’ information.

2.                 Find out ways by which Kaduna Polytechnic, college of science and technology is managing/storing, recording students information.

3.                 Find out problems associated with managing students information

4.                 Provide means towards effective management of students information.

Significance of the study

This study will be of significance to the students because it will ensure that accurate and proper Information of student’s achievement and growth during his/her school days are kept and to report same to parents/guardians, employers, other institutions for students admission or job placement. It will also be of importance to school administrators because it allow for Facilitation of continuity in the administration of a school, research activities that will promote efficiency and effectiveness; Providing information needed by lecturers, staff, counselors in working with students, School administrators rely on Information to evaluate students’ performance and reward same. It will also benefits education regulatory bodies because Educational regulatory bodies rely on education Information to evaluate the status of governance of an institution and academic quality of schools. Researchers in education also find relevance in educational Information for their researches towards contributing to knowledge.
